Terms and Conditions

At Woodgrain, we prioritise delivering exceptional craftsmanship and transparency throughout your project. Here’s how we manage quotes, payments, and the process from start to finish.

Initial Consultation and Quote

To kick off your project, we provide an initial estimate and a basic design sketch at no cost. This includes up to 2 hours of design time, allowing us to offer you a preliminary guide to the project’s costs based on your vision.

Design Deposit and Process

When you’re ready to move forward, we’ll allocate additional design time. At this stage, we require a Design Deposit, set at 5% of the estimated project cost. This deposit will be deducted from the final quote. If you decide not to proceed with the manufacturing, you’ll still own the initial designs.

Once we finalise the design together, we’ll provide a detailed quote along with drawings for your approval. A Project Deposit will be due to confirm the order and secure your slot in our workshop schedule.

Payment Structure

Our payment terms are structured to ensure clarity and trust throughout the project:

  • 40% Deposit: Required upon order confirmation to initiate the project.
  • 25% Production Payment: Due when full production begins in the workshop.
  • 25% Pre-Delivery Payment: Payable before the agreed delivery date.
  • Final 10% Balance: Due upon completion of the installation.
  • Appliances: 100% of the cost is due at the time of order.

Payments can be made via Bank Transfer, with details provided on all invoices. Please note that late payments will incur interest at 2.5% above the current bank rate. All estimates and quotations are subject to potential changes in material costs.

Customisation and Additional Services

We offer optional services, such as rendered drawings of your project, which can be created for an additional fee based on the project’s complexity and the number of images required. Any additional work or changes beyond the original contract will be quoted and billed separately.

Order Confirmation

Once you approve the final design and quote, your 40% deposit will serve as both confirmation of your order and acceptance of our terms and conditions, solidifying your agreement with Woodgrain.

Delivery and Installation

Woodgrain is committed to meeting your desired timelines. We’ll provide an estimated lead time during the design process, but please note that final scheduling occurs only after order confirmation and payment. While we protect our products on-site during installation, any damage caused by others will be charged accordingly.

Site Preparation and Installation Requirements

It’s the client’s or site manager’s responsibility to ensure the site is ready for installation. If the project is delayed on the client’s end, we may require payment to cover costs incurred and for storage.

Natural Variations and Tolerances

Please be aware that timber is a natural material, and variations in color, grain, and character are to be expected over time. Additionally, standard fitting tolerances, such as voids and fillers, are part of the normal installation process and are not grounds for complaint.

Appliance Guarantees

For any appliances included in your project, you should register guarantees directly with the appliance manufacturer using the provided paperwork. The invoice from Woodgrain will serve as the point-of-sale document for these guarantees.

Cancellation Policy

Should you need to cancel your project after booking and paying the deposit, cancellation is only valid if both parties (the client and Woodgrain) agree in writing. The client will be responsible for covering any costs, expenses, damages, or losses resulting from the cancellation.

Marketing and Privacy

Unless you notify us otherwise in writing, Woodgrain may use images of your completed project for promotional purposes. Rest assured, these images will not include any personal details or references to your identity.

We are committed to protecting your privacy in accordance with South African law. Your personal information will only be used to process your order and provide you with the best possible service. We do not share your information with third parties not involved in your transactions with us.

Ownership of Goods

Ownership of all manufactured goods remains with Woodgrain until the full contract price is paid in full.
